Sales Development Executive

37.5 hours per week – Monday to Friday

An exciting opportunity to join the Bay Tree Food Co. Limited sales team at our Plymouth Offices has arisen. If you are motivated, professional, love selling fantastic products and delivering a first-class service then we have the perfect job for you. 

You will be looking after our existing customers and developing new business in the UK. As well as manufacturing premium ambient products such as Chutneys, Jams and Sauce we distribute a wide range of other Artisan food brands making this an exciting and rewarding position.

You will have an excellent telephone manner and be able to work effectively both individually as well as within a small team, working closely with our Customer Service team.

Ideally, you will have experience of sales and building relationships via the telephone, plus a working knowledge of Sage 200 and Sage CRM (although training would be provided)..

Technical Services Controller

37.5 hours per week – Monday to Friday
(Must be flexible to suit demands of the business)

Salary Range £19k - £21k based on experience

Main Purpose of the Job

Ensuring that customer, company and legal requirements for raw materials and supplier quality assurance are achieved in accordance with the Company's policies and objectives. Recording, monitoring and maintenance of the quality functions and identifying and acting upon variances and non-conformance.

Key Responsibilities and Duties

  • To manage and authorise label declarations to ensure compliance with relevant legislation and provide print templates for the design team.
  • To maintain the associated systems for audit production documentation, raising non-conformances and following up on agreed actions until a satisfactory conclusion.
  • Maintain all customer specification portals ensuring all information is up to date and accurate.
  • Act as main point of contact for all customer queries regarding specifications.
  • Check and approve product artwork, packaging and labelling in accordance with customer requirements and current legislation.
  • Respond to customer technical requests to meet submission deadlines.
  • To ensure due diligence assessments and validations are undertaken on first production runs and product launches.
  • To organise and maintain the procedure for approval of ingredients and packaging, ensuring all components are risk assessed and compliant with Company standards, Allergen Control, TACCP and VACCP.
  • Generate sage codes to ensure full accuracy and traceability, and that costings are available and maintained.
  • Generate barcodes using the required software to ensure labels meet all legislative requirements.
  • Ensure changes are communicated throughout the business to ensure additional marketing material is updated and ensure compliance following external printing.
  • Support relevant teams for new product launches.
  • Attend Technical and NPD meetings as and when necessary.
  • To undertake any other duties as may be required within the scope of the post including providing support to the Technical Manager, Technical & Food Safety Co-Ordinator and Technical & Quality Analyst.

Knowledge, Qualifications, Skills and Experience

It is essential that the post holder:

  1. Be educated to at least 5 GCSE’s (or equivalent) at C grade or above including English Language and Mathematics or a minimum of Level 2 qualification in HACCP & Food Safety Management.
  2. Has a minimum of 2 years employment within a similar role.
  3. Has worked with or experienced HACCP principles and BRC audits.
  4. Be proficient in the use of – Microsoft IT packages.
  5. Has excellent written and verbal communication skills in the English language.
  6. Has knowledge and understanding of Health & Safety issues particularly with regard to the food industry.
  7. Has effective and positive communication skills including presentation of information.
  8. Be able to maintain high concentration skills. 
  9. Be self-motivated, reliable and enthusiastic.

 

It is desirable that the post holder:

  1. Has recognised HACCP, Food Safety and internal auditing qualifications.
  2. Has experience of working within a similar food manufacturing environment with experience of BRC accreditation.
  3. Has a minimum of 1 year working in a quality assurance co-ordinating role.

Finance Assistant

37.5 hours per week – Monday to Friday

Salary Range £18500 - £19500 per annum

The award-winning Bay Tree Food Co. Limited is recruiting a self-motivated, reliable and enthusiastic individual to join our team.

Main Purpose of the Job

The Finance Assistant will assist the company in achieving ATP targets by utilising company systems and procedures to purchase and receive goods via the companies list of approved suppliers. The Finance Assistant will ensure all payments are entered on to the Purchase ledger system in a timely manner with the support of other members of the finance team. The Finance Assistant must ensure bank reconciliations are performed daily, to safeguard the business from fraudulent activity.

Key Responsibilities and Duties

Finance:

  • Match delivery notes, purchase orders and supplier invoices/credit notes, investigate variances with appropriate departments.
  • Liaise with suppliers when notified by Goods In of any damages on arrival.
  • Apply all invoices/credit notes into Sage 200, insuring the correct nominal codes are used. 
  • Scan supplier document and associated backup in to system folders ready for signoff by director, responding to any queries raised in a timely manner.
  • Generate a suggested supplier payment run for Financial Controller approval.
  • Review creditors on a weekly basis and investigate anomalies.
  • Perform bank and business credit card reconciliations.
  • Reconcile supplier’s statements against the creditor on a monthly basis, contacting the supplier directly if variances found.
  • To assist in the collation of monthly payroll documentation using Microsoft Excel, Jibble and Brightpay
  • Process monthly sales commission and expenses payments in accordance with timescale set.
  • Review utility invoices to make sure charges are in line with contracts and signed off by nominated managers, issuing copies of all energy bills to Financial Controller for accrual purposes.
  • Monitor budgets with the Planning and Purchasing team to ensure margins are not compromised. 
  • Use the Royal Mail Portal for any despatching.
  • To cover for Finance Manager on an adhoc basis, i.e. holidays, sickness.
  • To work effectively and efficiently with cross-functional teams, including those from purchasing, NPD, technical, production, operations and the warehouse.

Office Administration:

  • Meet and greet visitors at Reception.
  • Update and manage staff training records and notify relevant Line Manager of impending training requirements.
  • Update inhouse SOPs (Standard Operating Procedures).
  • Arrange new starter documents to be sent to employees and chase back completed forms before they start work.
  • Be a part of the H&S Committee and record accidents on the digital H&S Log.
  • Monitor staff absences and report any trends back to the Director of Operations.
  • To work on any adhoc projects or collate information for the Director of Operations.

Van Driver & Goods In Operator

37.5 hours per week – Monday to Thursday
(Role may switch to Mon to Fri, depending on seasonal needs)

£9.35 per hour.

The award winning Bay Tree Food Co. Limited is recruiting a self-motivated, reliable and enthusiastic individual to join our team.

Main Purpose of the Job

Work with all relevant departments, to ensure the smooth and efficient operation of the Van role to benefit and support the efficient operation of the Production site.

This will include the safe and accurate transfer of Raw Materials & Packaging between sites as required, and collections from 3rd party locations in accordance with the Company/Production needs.

To Include the safe and accurate transfer of Finished Goods to the North Road Goods-In area.

To check Frozen and Fresh Goods received against delivery notes.

To input the delivery notes onto company sage system, generating and applying rotation numbers compliant with company procedures.

To assist and support Prep Team in correct storage and issuing of Frozen and Fresh goods.

To assist Prep Team in preparing recipes when no van transfer is required.

Key Responsibilities and Duties

  •  Ensure all stock is stored, handled and transported securely and in line with Company procedures and health and safety guidelines between sites and other outlets as directed.
  • Assist with the loading and unloading of items onto the van ensuring they are stacked/secured properly.
  •  Ensure standard safety/maintenance checks are made each day to the delivery vehicle and report all faults.
  •  Ensure that the delivery vehicle is kept clean and tidy, inside and out at all times and perform general and preventative maintenance on the vehicle as necessary.
  •  Ensure that all necessary paperwork is complete and up to date in line with the Company’s Goods In procedures, Stock Transfer Procedures, and Fresh/Frozen order/delivery requirements.
  •  Ensure Finished Goods are transferred from East Way to North Road in safe and secure manner, unloading into NR Goods In area as required by NR Goods In team.
  •  Ensure all Packaging, and ingredients are transferred from North Road to East Way in a safe and secure manner, loading and unloading into/from correct storage areas.
  • To enter the Frozen and Fresh delivery notes onto the company sage system promptly and accurately, and to generate and apply the appropriate Rotation labels to all goods.
  • To assist in storage of Frozen and Fresh Goods to appropriate storage area once booked in.
  • Notify the relevant departments of any shortages on delivery note promptly.
  • Notify the relevant departments of any damaged goods received on delivery, and transfer to quarantine on sage, and transfer to agreed storage area.
  • Assist East Way production team in the efficient transfer of goods between sites, and the efficient collection of goods from 3rd party suppliers (such as Wild Water frozen storage).
  • Assist Prep team in storage and issuing of Frozen and Fresh ingredients.
  • Ensure all stock movements are accurately recorded as required on MI’s, stock requests etc.
  • Assist Prep team in Factory Hygiene.
  • Assist with regular and spot checks and stock takes as and when required.
  • Ensure adherence to site Health and Safety procedures and policies.
  • Ensure all Company safety and quality systems are followed and all relevant legislation complied with, raising any concerns or suggestions and reporting any incidents and/or accidents to your line manager or supervisor.
  • Support and assist newly appointed or less experienced colleagues by providing training and guidance as appropriate.
  • Deputise and provide cover for absent colleagues as required, and regularly refresh on processes to ensure this can be achieved effectively.
  • To undertake any other duties as may be required within the scope of the post.

It is essential that the post holder:

  • Holds a current, valid UK driving licence
  • Is qualified and competent to operate a Counterbalance Fork Lift Truck
  • Has Good Time Management
  • Plans ahead, well organised and good decision making – as well as attention to detail.
  • Is PC literate with reasonable administration skills

Handyman & Cleaner

37.5 hours per week
Mon to Fri - 7:30am to 5:00pm with 2 x 30 min unpaid breaks

£9.11 per hour.

Main Purpose of the Job

You will work with warehouse colleagues to ensure an efficient, safe warehouse and maintain accurate handling of stock to deliver a high quality service to all of our customers.

Deputise and cover the duties for the Goods In Controller and the Despatch Controller when absences occur through holidays and/or through illness.

Key Responsibilities and Duties

  • Basic handyman tasks to include odd jobs and maintenance duties e.g. gardening, painting etc and other site maintenance.
  • Inform line manager if there is a delay in meeting any deadline or mending something that may cause a hazard, so that the appropriate measures can be taken to protect staff.
  • Ensure that all work being undertaken is done causing as little disruption as possible to staff. • Liaise with the line manager in order to appropriately prioritise work that is urgent and act accordingly.
  • Check the maintenance schedule on a regular basis to ensure any urgent jobs are completed in good time.
  • Keep the Yard clean by staying on top of bailing all used packaging materials.
  • General cleaning tasks, such as cleaning offices, corridors, toilets, emptying bins, sweeping and general tidiness.
  • You will be responsible for cleaning a number of areas across site using a variety of cleaning materials and equipment as well as reporting any cleaning appliance faults to your line manager.
  • To have a calm manner and able to work under pressure.
  • Able to make sound decisions when needed.
  • Sound understanding and experience of meeting health and safety obligations regarding maintenance activities.
  • Any other task as directed by the site management team.

The successful candidate will be an experienced ‘all round’ handy person and will have their own tools.

Main duties and responsibilities will be: Labelling stock and making up gift packs.

Current shift pattern as follows:
7:30am-4:30pm (Mon-Thurs) and 7:30am-1:30pm (Fri)

The successful candidates will possess good numeracy and literacy skills and have a strong attention to detail.
